
Brillantmont recherche un.e secrétaire.e des admissions à 100%, pour une entrée en fonction de suite. Le.la candidat.e sera de préférence basé.e proche de Lausanne et être titulaire d'un permis de travail valable .
Ce poste administratif convient particulièrement à une personne au bénéfice d’une expérience préalable du travail de bureau et d’accueil qui apprécie la variété et les milieux internationaux
Le secrétaire des admissions fait partie intégrante de l'équipe administrative et accomplit des tâches variées, notamment les tâches de bureau liées à la réception de l'école :
- Réception et filtrage des appels téléphoniques.
- Accueil et orientation des visiteurs.
- Réception et distribution du courrier.
- Toutes autres tâches liées au bon fonctionnement de la réception.
Le secrétaire des admissions est également le soutien administratif et de secrétariat de l’équipe des admissions, pour les élèves de l'année scolaire et du cours d'été, notamment pour :
- Assurer un soutien administratif aux futurs parents.
- Assurer un suivi efficace et opportun de la correspondance avec les futurs parents, depuis la demande initiale jusqu'à la décision finale d'admission.
- Participer aux visites des familles.
- Assurer un bon déroulement du processus d'admission.
- Constituer et tenir à jour les dossiers d'admission des élèves potentiels pour l'année scolaire et le cours d'été, en veillant à ce que tous les documents soient reçus en temps voulu.
- Mettre à jour les dossiers d'admission.
- Gérer les aspects administratifs du séjour des élèves (visa, permis B, etc.).
- Gérer les permis de séjour des élèves.
- Assister la directrice des admissions dans toute autre tâche liée à ce rôle.
Spécifications
Pour assurer ce rôle avec succès, le.la candidat.e pourra démontrer :
- Une excellente maîtrise du français, à l'écrit comme à l'oral, ainsi que de l’anglais. Une troisième langue serait un atout.
- Une bonne compréhension des requêtes de visas et de permis d'études en Suisse.
- Organisation et efficacité, avec d'excellentes compétences informatiques (Excel, Hubspot, Word).
- Précision et attention aux détails.
- Un excellent esprit d'équipe, une attitude positive la capacité de faire preuve de flexibilité dans un environnement de travail ouvert 24h/24 et 7j/7.
- Une excellente présentation personnelle.
- Un excellent accueil au téléphone.
- Un esprit international et une sensibilité interculturelle.
- Tact et diplomatie lors de la manipulation d'informations sensibles.
- Idéalement, disposer d’une expérience dans le domaine des admissions scolaires ou de la gestion hôtelière en Suisse dans un rôle de secrétariat ou d'administration.
- S’engager dans la promotion du bien-être des jeunes, adhérer à la politique de Protection de l’Enfance de l'école et en assurer le respect.
- Capacité de travailler avec efficacité et de prioriser les tâches dans un environnement changeant.

Brillantmont seeks to appoint a full time (100%) Admissions Secretary as soon as possible. The successful candidate will be based in the Lausanne area and must have a valid work permit.
This is a full time post in an administrative / clerical role. It is suitable for someone with previous experience in office work, welcome tasks, who appreciates a varied, international work environment.
The Admissions Secretary is an integral member of the administrative team and undertakes varied work, including general office tasks related to the smooth running of the school reception:
- reception and screening of school telephone calls
- welcome and orientation of school visitors
- reception and distribution of mail
- all other tasks related to the smooth running of the reception
The Admissions Secretary provides the secretarial and administrative support for the Admissions Team, specially related to the admission of school year and summer course students, notably:
- Assist the Admissions team to provide back office support for prospective families.
- Ensure timely and efficient correspondence with prospective families from the initial enquiry to the point of the final admissions decision.
- Assist with the visits of prospective families to the school.
- Ensure that the admissions process is smooth and comfortable.
- Collate admissions files of prospective students for the School Year and the Summer Course, ensuring that all documents are received in a timely manner.
- Ensure admissions records are up to date.
- Organise the administrative aspects of a student’s stay (visa, Permis B etc.).
- Manage residence permits for students.
- Assist the Head of Admissions in any other task related to this role
Specifications
The successful candidate will:
- Have an outstanding command of written and spoken French and English and preferably, a third language.
- Have a good understanding of how visas / student permits are organised in Switzerland.
- Be organised and efficient, with excellent IT skills (Xcel, Hubspot, Word)
- Be accurate and precise, with attention to detail.
- Be a great team-player, with a can-do attitude and able to show flexibility in a 24/7 working environment.
- Have excellent personal presentation.
- Have an excellent telephone manner.
- Be able to work with accuracy and focus in a busy office and to prioritise tasks.
- Be internationally minded with inter-cultural awareness.
- Be tactful and diplomatic when handling sensitive information.
- Ideally, have experience in working in school admissions / hotel management in Switzerland in a secretarial/ administrative role.
- Be committed to the safeguarding and promotion of the welfare of young people and adhere to and ensure compliance with the School’s Safeguarding Policy at all times.
